Everything below is a question only you can answer. They came out of building the private-events planner — each one is something the tool currently has to leave blank, or refuses to guess at.
Answer what you know and skip what you don't — a half-answered sheet is still useful. Your answers save in this browser as you type, so you can come back to it. When you're done, hit Export answers and send the file back, or just print it and write on it. Nothing here is published anywhere; the page is private and not indexed.
The planner will not invent a price. Every line currently reads “Quoted per event” and will keep saying that until you fill the numbers in. That is deliberate — a made-up figure is one somebody holds you to.
The four rungs of the ladder, and what each room actually is.
What is the legal/fire occupancy for each of the four rungs (Just Mimi's / +tavern / +Back Porch / +River)? Until there is a real number per tier the planner cannot advise on capacity at all, and we will not invent one.
Is the ladder strictly cumulative, or can someone book the Back Porch without the tavern? The sketch says additive and the planner is being built as a strict single-select ladder; confirm there is no à-la-carte exception before that is locked in.
What is the bar's trading name? Your areas sheet says “The Tavern at Roadhouse”, and earlier you said the bar keeps the Delta Roadhouse name rather than getting a separate one. The planner has to print one name — which is it?
What exactly is "Just Mimi's" — the ice cream counter, the arcade floor, or both? And does booking it close it to the walk-in public?
Your areas sheet lists “Events at Roadhouse” and “Chef Joe's at Roadhouse” alongside the rooms. Are those two more bookable spaces, or are they service names rather than places?
None of this is published anywhere yet. The engine says “Quoted per event” until it is.
What is the space fee per rung, and what shape is it: a flat room fee, an hourly rate, a food-and-drink minimum, or a combination? How we store the number depends on which of those it is.
Is there a minimum spend, and does it change by day of week or season? Friday/Saturday is the bar's own trading window.
Deposit: what percentage or flat amount, refundable or not, and when is the balance due? Worth settling cleanly — Mimi's catering paperwork currently runs two different deposit rules, and Roadhouse should have one.
What is the sales tax rate, and is alcohol taxed differently from food? Neither Mimi's document has a tax line anywhere and you quote actively advertises "no fees added at the end" — that cannot survive a licensed venue.
Is there a service charge or auto-gratuity on bar and on staffing, and at what percentage? Yes/no changes the derived-row block.
Cleaning and/or damage deposit: flat, or scaled by tier?
Is there a peak-date surcharge, and what is the actual peak-date list? The planner will assert no peak rule at all until this is answered.
What is the overtime rate past the contracted end time, and what is last call? The planner must never print an hour that is not real.
Chef Joe’s packages are defined by structure already; the names and shape of pricing are not.
What food packages will Chef Joe's at Roadhouse actually offer for private events, what are they called, and are they per-guest, per-platter, or a buffet flat rate?
Does Mimi's ice cream appear as a food add-on for private events, and does it invoice under Mimi's or through Delta Roadhouse's POS?.
All of it runs under Delta Roadhouse’s licence.
What bar service levels exist, and what does Delta Roadhouse want them called? Cash bar / hosted bar / drink tickets / beer-and-wine only areplaceholders, not confirmed offerings.
Are there bartender staffing minimums, and does the customer pay for them separately?
Is outside alcohol or corkage permitted at all? Presumably not under the licence, but the planner renders a policy sentence and must not write one you have not approved.
What are the licensed hours for a private event, and does that differ from normal trading hours?
Your own sheet wrote this as “tables/chairs???” — so these are your question marks, not ours.
Does the venue supply tables and chairs, how many, and at what price? This is your own "(tables/chairs???)" and the planner renders it as an open question until answered.
What decorating is permitted and what is prohibited — open flame, candles, wall fixings, confetti, fog machines, hanging anything from the ceiling? This is a prose block the planner prints verbatim; it will print nothing until you write it.
Do you provide decorating labour, or only permit an outside decorator?
What is the load-in and load-out window, and who is allowed in the building during it?
Both show in the engine as “not open yet” and cannot be booked.
Is there a target opening date for either? The planner prints "not open yet" with no date and will keep doing so; it will never invent one. If there is a date you are willing to state publicly, say so explicitly.
Should someone be able to register interest in these, and where should that lead go? The planner keeps those separate from real bookings, so they can never turn into one by accident.
How an inquiry becomes a booking, and who handles it.
Which legal entity's name goes on a private-events contract, and does bar service invoice separately from food? Each business keeps its own legal name on quotes, so we need to know which one heads the paperwork.
Which POS is the source of truth for a private event? If it runs through the Roadhouse POS we need to know before we build ordering on top of the existing Chef Joe's setup, or it gets built twice.
Who reads these inquiries, and do you want an email or SMS alert when one arrives? Today there is no mail provider credential on this account, so leads land in KV and are read through a staff page. If you want an alert, that is a separate decision with a cost.
Is there a booking calendar we can read to block dates that are already taken? If not, the planner will only ever say someone has asked about a date — it will never tell them it is free.
What is the minimum lead time for a private-events inquiry? Worth setting one — the existing catering form has no earliest date at all and will currently accept a date in the past.
Above what headcount do you require an insurance certificate or security staff?
What is the age policy for a private event that includes the Arcade? The Tavern is 21+ and the Arcade is all ages, so a mixed event needs a stated rule.
The existing catering endpoint stores the submitter's IP for 90 days and the privacy page does not disclose it. The events engine will store more. Confirm the retention period you want and approve the privacy-page update, which must ship in the same commit.
